About InvoRec
InvoRec turns invoices into structured data. Upload a PDF, scan, or photograph of an invoice and we extract the vendor, dates, line items, taxes, and totals — ready to export to Google Sheets, Excel, or CSV in seconds. We focus on a single problem: getting invoice data out of documents and into the spreadsheets and systems where finance and operations teams actually work.
What we do
Our extraction pipeline accepts invoice files in the formats teams already receive them — PDF documents, scanned paper invoices, and phone photos. We parse each file and return a structured record containing the vendor name, invoice number, issue and due dates, line items with quantities and unit prices, tax amounts, totals, and currency. Most invoices are processed in a few seconds, with results available for review and correction before export.
On the export side, we send extracted data directly to the tools teams already use: Google Sheets, Excel, or CSV. The goal is that invoice data flows into existing workflows rather than asking anyone to log into yet another tool to view results. The spreadsheet you already have stays the source of truth.
Why InvoRec exists
Manual invoice data entry remains a significant time cost for finance, operations, and bookkeeping teams. Even with modern accounting software, someone still has to read each invoice and type its details into a spreadsheet or system of record. At meaningful volume, that work consumes hours every week.
The existing market tends to split into two camps. On one side, enterprise AP automation platforms are priced and configured for large accounts payable departments — heavy to implement, expensive per seat, and overbuilt for teams that just need structured invoice data. On the other side, generic OCR tools produce raw text that still requires extensive manual correction to be useful. InvoRec is built for the middle: small and mid-sized teams that process meaningful invoice volume but don't need (or want to pay for) enterprise-grade procurement software.
How it's built
We use modern AI extraction models (large language models) rather than legacy template-based OCR. This is what allows extraction to handle varied invoice layouts, multiple languages, and even handwritten or photographed documents without per-vendor template configuration. The same pipeline reads a clean digital PDF from a major supplier and a phone photo of a handwritten receipt.
- Hosted on EU servers (Hetzner, Germany)
- All data encrypted in transit (TLS) and at rest
- Authenticated database access only — no public internet exposure
- Automatic encrypted backups
- Invoice content is processed for extraction only and is never used to train AI models
Who it's for
InvoRec is built for teams and individuals who handle invoices regularly but don't need a full procurement platform:
- Small and mid-sized businesses processing dozens to hundreds of invoices per month
- Bookkeepers and accountants handling multiple clients
- Finance and operations teams who need invoice data in spreadsheets without retyping
- Freelancers tracking business expenses and reimbursements
Our approach
We focus on doing one thing well — invoice data extraction and export — rather than trying to be a full procurement or accounts payable automation platform. We ship updates incrementally based on real user feedback, and we keep the product simple enough that a new user can extract their first invoice within minutes of signing up. Pricing is a fair monthly price with no per-seat surcharges or hidden fees; it scales with usage, not headcount.
