Getting started
How does invoice extraction work?
Upload an invoice and InvoRec runs it through a vision-capable AI model (Gemini) that reads the document the way a person would. It returns structured fields — vendor, dates, line items, tax, totals — that you can review and export to Google Sheets, Excel, or CSV.
What file formats are supported?
PDF documents, scanned paper invoices, and phone photos (PNG and JPEG). Multi-page PDFs are supported on all paid plans; the Free plan is limited to single-page files.
How long does processing take?
Most single-page invoices are processed in under 10 seconds. Larger multi-page documents and batch uploads take a little longer; higher-tier plans run on faster queues with priority processing.
Credits and plans
How do credits work?
One credit covers one page of an invoice. A three-page PDF uses three credits. Credits are deducted at the start of processing and are not refunded for files that fail to parse on a clearly legible document — but reach out to support if you hit an edge case.
When do credits reset?
Subscription credits reset on the same day each month for monthly plans, and once per year for yearly plans. Resets run automatically via our scheduled job; you do not need to do anything. Unused subscription credits do not roll over.
What happens if I run out of credits mid-month?
Uploads are paused until credits become available. You can buy a top-up pack at any time — top-up credits never expire and are used after your subscription credits run out.
Can I change plans? What happens to my credits?
Yes — upgrades and downgrades take effect immediately. Your existing credit balance is preserved across plan changes, and the new plan’s monthly allowance is granted on your next billing cycle.
Extraction quality
Why did extraction fail or return wrong data?
Most failures come from very low-resolution scans, heavily skewed photos, or documents that are not actually invoices. If the file is legible but a specific field is wrong, you can correct it inline before exporting — and reprocessing the same file with a different schema often resolves layout-specific issues.
Can I correct extracted data?
Yes. Every field on every extracted invoice is editable directly in the review screen before you export. Corrections are saved with the invoice record so your exports always reflect the latest values.
What is a custom extraction schema and how do I set one up?
A custom schema lets you define exactly which fields InvoRec should extract — for example PO numbers, cost centers, or project codes that are not in the default set. Create one from the Schemas page in the app, add the fields you need, then select that schema when uploading. Available on Growth and Business plans.
How do I reprocess an invoice?
Open the invoice in the app and click Reprocess. This re-runs extraction against the current file — useful after you change schemas or want to retry a file that returned incomplete data. Reprocessing deducts credits again because it consumes a fresh AI call.
Billing
How do I update my payment method?
Open Settings → Billing in the app and click Manage subscription. This launches the Polar customer portal where you can update your card, billing address, and tax details.
How do I cancel my subscription?
Cancel any time from Settings → Billing → Manage subscription. Your plan stays active through the end of the current billing period, then drops to the Free tier. Your data and any unused top-up credits are kept.
Where can I download past invoices for my own records?
Receipts and tax invoices for your InvoRec subscription are available in the Polar customer portal, reachable from Settings → Billing → Manage subscription. PDFs can be downloaded individually.
What happens if my payment fails?
Polar retries the charge automatically and emails you about the failure. If retries do not succeed within the grace period, the subscription downgrades to Free — your data and account stay intact, and resuming is one click once the payment method is fixed.
Account and data
How do I delete my account?
Open Settings → Account and use Delete account. This permanently removes your invoices, uploaded data, schemas, and personal data from our systems. The action cannot be undone.
Where is my data stored?
Your original uploaded files are deleted from storage immediately after extraction — we don't keep them. The structured data we extract is stored in our EU-hosted database (Hetzner, Germany), encrypted at rest, with all traffic encrypted in transit. Invoice content is never used to train AI models.
Can I export my invoices?
Yes — extracted invoice data exports to Google Sheets, Excel (.xlsx), and CSV at any time. You can export individual invoices or batches, and re-export the same records as often as you need.
